In the new Melcrum report, Podcasting: How to get started in your organization, author Lee Hopkins gives several examples of where these “mini radio shows” might be useful: from meeting recordings, to executive speeches and business updates.

But, once you’ve got a podcast ready to go, how can you make sure the right people get to listen to it?

Here are Lee Hopkins’ five tips on making podcasts easily obtainable.

1. Get the software
Ensure your employees have some free or inexpensive podcasting software on their desktop, which, with a few clicks of their mouse, automatically collects relevant sound files and downloads them onto their MP3 player.

2. Let people know there’s a podcast available
E-mail everyone to let employees know you have a podcast available (and give them a link to the download page on your website or intranet).

3. Enable RSS
Have your IT department “enable” RSS technology across the enterprise and on the intranet and internet (and extranet if you have one) so that anyone who has the software on their computer, for example iTunes or Microsoft Outlook 2007, can “subscribe” and download each new edition automatically.

4. Make the podcast, RSS and links highly visible
Ensure that on every webpage where there’s a link to the podcast you also have the ubiquitous orange radar button so that tech-savvy folk know that they can subscribe.

5. Offer a choice of ways to subscribe
Also, give employees the ability to subscribe to each edition via e-mail (it can be included as an attachment, as long as it’s not too big to be blocked by their e-mail server or IT department).

There are several third-party services that allow such e-mail subscription – the best known and most reliable are services offered by Feedburner and Feedblitz where, for a small monthly fee, you can even add your own company logos, banners, advertising and so on, making the e-mail look as though it has come directly from your desk.

It’s not going to cost a fortune
As we’ve noted in a previous issue of this newsletter, social media doesn’t have to be expensive and, as Lee says in the report, “Considering the low-to-no-cost entry into podcasting, its acceptance into the internal communication mix should happen sooner rather than later.”
