When an employee survey at courier and delivery organization TNT revealed a need for more transparent communication and decision-making, the CEO Peter Bakker was keen to find ways to close the gap.

Job van Harmelen, senior communications manager at TNT and a speaker at Melcrum's Intranet 2.0 Forum in London this June, explains in a recent SCM article how a virtual CEO office on the group intranet helped the CEO do his bit.

Named "In Touch with Peter", the virtual office quickly became one of the most popular sections on the site. Here's an outline of some of the applications that help connect the CEO with the workforce.

CEO agenda
At the beginning of each year, following the annual senior management meeting, the priorities for that year are published on the intranet. These priorities are based on strategy and the results of employee surveys and are the center of the virtual office.

Online 90-minute chat sessions
Every two months, an item is selected from the CEO agenda (e.g., embedding values or growth in China) and a 90-minute online chat session is organized. Before the chat, people are invited to participate in a short online pulse check. This provides the chance to get feedback and prepare the main focus of the chat session. It also encourages people to think through the implications of a specific issue and enable them to prepare for it.

A week after the chat, a complete transcript and summary is published on the virtual CEO office and highlights, actions and next steps are shared.

Personal blog
"Given our CEO's busy schedule" says van Harmelen "we manage to get an entry out every other week. People have the ability to reply and are enthusiastic about the process. Every Friday our CEO receives an overview of all responses."
